Productivity Guide – How to Be Productive Like A Millionaire

Productivity Guide - How To Be Productive Like A Millionaire

Do you know what the big difference is between your productivity and that of millionaires?

It is not money. It does not influence. It is not the size of the company. It is not the number of collaborators. It is not the country or the city.

It is how everyone manages their own time.

Time is the scarcest and most valuable resource in the world. When it passes, it does not come back.

The truth is that we all have 24 hours to fill our day, including millionaires.

I tell you something: the way they manage time is the solution you were looking for, in case you want to increase your productivity and that of your company.

Using time correctly is the best strategy to be more productive.

Maybe you’ve already been through that: you spent days, you stayed up whole nights to finish a project, and in the end, you continued dissatisfied with the result.

That’s because you weren’t being productive – you were just wasting time, money, and quality of life.

After reading this article, you will no longer feel that the hours are passing and that you are wasting your precious time.

With just three simple and easy-to-apply steps, you will be ready once and for all to reach levels of productivity like never before.

You and your team are going to be amazed at how powerful everything I am going to tell you in the next few lines is to raise the productivity of your business to heights.

  • Know what productivity is
  • Check out the 25 golden tips to increase the productivity of your business right now
  • Learn to prepare your body and mind to be a more productive person

Believe me: after this content that I present to you today, you will have no more problems achieving the productivity you have dreamed of so much. Just depend of you!

Productivity: what is it?

Productivity: what is it?

Anyone who runs a business, whether in marketing or any other field, should know that having high levels of productivity at work is essential for success.

If you are here, it is probably because you feel the need to be more productive or you want to ensure that whoever works for you increases their productivity.

For that to happen, you must understand the true meaning of productivity. And the first step is to differentiate productivity from production.

Production is the volume of what is produced. For a carpet manufacturer, for example, it is producing the largest number of pieces in the shortest amount of time.

Production is using eggs, flour, butter, yeast, and making a cake.

It is putting the ingredients together to transform them into a final product, thinking only about what needs to be done and not how it is done.

While the product has to do with quantity, productivity is more related to the quality of what is produced.

Producing is about doing and being productive is about doing.

Productivity has to do with improvements and growth for a business. A person who produces a lot is not necessarily a productive person.

Productivity is all about prioritizing tasks. It’s about being efficient: meeting a goal with the minimum of effort, time, and money. It requires commitment, study and planning.

“Hugo, now that you explained it… my business cares a lot about the quality of the product or service. So I think I’m correct, I don’t need to read this article to the end. ”

Watch out! As much as your company is more concerned with quality than quantity, it may not be as productive as you think.

Let me explain: an investigation by Dr. Donald Wetmore, from the Productivity Institute, found that only 20% of a normal working day is spent on relevant and crucial activities

In other words, people spend 80% of their time doing activities of little or no value.

That may be happening with you and your team, without you noticing.

That is, if you do not follow the advice that I put aside for you in this article, you may be wasting time and money, unnecessarily.

So, go on over here and get rid of the headache at once.

25 tips to increase the productivity of your business

25 tips to increase the productivity of your business

I put aside 25 golden tips for those who want to raise their productivity to the heights.

One thing I tell you: you are probably doing something the wrong way.

Therefore, if you want to be more productive and not waste your time, prepare for the transformations that are coming.

“If you want to continue doing what you always did, you are going to continue with the results you always had. To change your results, you must change your actions”

Doctor Donald Wetmore

1 – You don’t need to be a workaholic

Customs such as arriving earlier and working more than your schedule is bad for your physical and mental health, consequently affecting productivity.

Putting work above anything else, waking up and sleeping thinking about unfinished demands can cause insomnia, bad moods, even depression.

That means that you have a vice for work and damage other areas of your life.

I tell you something: you should not sacrifice your life to be more productive at work. That is especially true for those who have digital businesses.

When my brother Erica Rocha (one of the most important figures in digital marketing in Brazil) and I started selling the Launch Formula, the proposal was that you could work anywhere in the world and spend more time with your family.

So just think about work does not mean success!

2 – Being full of demands does not mean having more productivity

Imagine the following: it is Monday, the beginning of the day.

You open your homework schedule and you have so many things that you don’t even know where to start.

In a way, that makes you proud because you associate having a huge to-do list with high productivity.

But let me tell you something: When you have a lot of chores, you are not being productive, you are just busy.

Living busy can even mean that you are not knowing how to organize your time in the most efficient way.

Chances are, you’re not going to do anything right. My advice is: don’t try to cover the world.

3 – Do not live based on emergencies

Yes, sometimes unexpected things happen.

The email signals an urgent demand, or the phone rings to attend to a situation that cannot wait.

But if your day is based on meeting demands that arise at the last minute, what you had already programmed will be put aside.

Putting out fires cannot be on your list of daily activities, that is, you have your powers and your daily agenda.

If not, on the weekend you will verify what you did in the week and you will see that you did not produce anything, you only dedicated yourself to solving setbacks.

4 – Taking breaks is essential

25 tips to increase the productivity of your business

I never read The Shining by Stephen King, but I saw the movie based on the other and directed by Stanley Kubrick (movie, inclusive).

One of the strongest phrases in the film is “All work and no play makes Jack a dull boy.  ”

This means that without free time, you become an annoying person. Or in the case of the movie, mentally unbalanced.

The truth is that we are not productivity machines. We cannot spend a whole day with the same level of concentration.

Therefore, when you feel that your body and mind need a few minutes of leisure, respect those signals.

For example, if you are reading a text and you want to go back to the previous sentence after each final period, it is better to stop for a little while.

Get up for a coffee, take a walk around the space to get the blood circulating, and fill your water bottle.

Even if it is for about 5 or 10 minutes, take a break and let your body rest.

Most importantly, don’t feel guilty about taking breaks during the work day.

5 – Organize your space

Maybe you’ve already entered a room, a living room, or a kitchen and got upset, but you couldn’t say why.

The atmosphere was probably disorganized.

It may seem insignificant, but the environment directly influences your productivity. The brain is stressed by disorganization and has difficulty concentrating.

Keeping the environment clean, orderly, positive, and prepared for work causes less stress and avoids distractions.

Attention to those who are home office: the challenge for those who work at home is to maintain focus, since they are surrounded by many “temptations” such as television or the bed.

So an alternative is to get out of the domestic environment. It can be to a coffee shop or a cooking space, for example.

6 – Not everyone works from 8 to 5

I love waking up early as I produce a lot in the morning. But after lunch… it is difficult for me to stay focused on those activities that demand more concentration.

In the middle of the afternoon everything returns to normal, but I will have to suffer hardships if I have to stay up at night working or studying.

On the other hand, I know a lot of people who have productivity peaks in the early morning.

The truth is: it all depends on each organism.

To discover the most productive time of the day, the best way is to try.

If possible, adjust your work schedule to make the most of your productivity spikes.

7 – Don’t start your day in a hurry

Imagine that you have just met an interesting person.

You have not presented yourself properly and you are going straight to the point.

This is true for many things in life: if you do everything running, sooner or later things will not turn out well.

Which can mean a decrease in your productivity.

That being the case, wake up earlier and don’t rush to work.

If you start the day at a hectic pace, your brain can’t figure out what’s going on.

Get up in time to have a good breakfast, watch a YouTube video or an episode of your favorite series, or even do nothing for a few minutes.

For example, I like to practice Cross fit early because I feel that it helps me a lot (I will tell you more about that physical activity at the end of this article).

Take the test and tell me later in the comments: get up 30 minutes earlier, have a good breakfast and do things calmly.

You will notice how you make better use of the day, prepare well and increase your productivity.

8 – Identify how much time you spend on each task

25 tips to increase the productivity of your business

Take a test: how long does it take you to bathe? If you measure it with the stopwatch, the result may surprise you.

The same is true of job demands.

I tell you something: we leave the important demands for later because “it only takes an hour to do it” – but that hour easily turns into 2 or 3.

Whether it’s continuing that project, meeting a client, recording a video, updating the company’s social networks…

“Hugo, but I can’t be timing everything I do!”

I know, for that there are tools that do it for you, like Rescue Time.

This tool helps you identify how long it takes you to do each activity.

That way, you will have the dimension of how you invested your time and you can manage it more efficiently.

9 – Divide your time into cycles

That advice has everything to do with what I told you before and it will help you manage your time effectively.

I’m going to explain two great techniques to make better use of every second.

The first one is the Commodore Technique, which basically consists of dividing your demand into cycles and staying focused on one of them.

You end a cycle when you focus on it for 25 minutes straight and pause for 5 to 10 minutes.

After four cycles, you can increase the pause time to 15 or 30 minutes.

And the second strategy is to work 90 minutes straight.

A study developed by the University of Florida observed two elite professionals, such as athletes and actors, and found that they perform three 90-minute cycles a day and therefore have a high performance.

In other words, they rarely work more than 4 and a half hours a day.

The truth is that during the day, we go from an alert state to fatigue, every 90 minutes, which is why this technique is so effective. Make the most of your spikes.

It is not how much time you spend working, but the quality of that time.

For both the Commodore Technique and the 90 minutes, you can use the Tomato-Timer.

With this tool it is possible to adjust the productive time and the pause time.

The good thing is that it blows a whistle when the time is up, so you don’t waste a single second.

10 – Focus on the solution and not the problem

The scenario is as follows: it is 10 o’clock on a Sunday night. You are driving on a slow road. Your car’s tire is flat.

Capturing the signal for the cell phone will not be easy. Changing tires is not exactly one of the skills you have.

You have a problem. It already happened. The problem is there.

Thinking about him is not going to get you out of the same place. Focusing on the problem can block you and prevent you from seeing solutions.

The way you face a situation (whether through the problem or the solution) is related to the growth mindset.

Mindset is a person’s way of thinking, how they see and react to things in life. Your mindset.

According to Carol Deck, author of Mindset – The New Psychology of Success, there are two basic types of mindset – fixed and growth.

The fixed is based on the belief that intelligence is static and limited to the talents that are had from the cradle, that is, the ability that people have to perform a certain activity originates from their birth.

People with math difficulties and a fixed mindset, for example, often believe that there is nothing to do – the potential is there.

These people are stuck in time and do not move forward because their mentality does not allow it – they fear failure.

Now, those with a growth mind set face challenges as an opportunity for evolution.

The mindset has a direct influence on the results of our actions (it is even possible to test mindset online).

Then, focusing on solving problems is characteristic of someone who has a growth mindset and wants to evolve with difficulties.

11 – An objective is constituted by goals

I have been married for a few years and I know that planning a wedding is all about following steps, goals and going up one step at a time.

If my wife and I had written “plan our wedding” on the to-do list, we would not have moved on.

Because “planning a wedding” is a macro objective, composed of several goals, such as choosing the godparents, making the guest list, deciding the place, the food, the music, the dress, in short?

So, when you define the demands that you are going to meet during the day, try to detail them so that you can see clearly what needs to be done.

This is a bad list:

  • to campaign
  • finish presentation
  • organize drawers

This is a good list:

  • define the target audience of the campaign
  • define the pain of the target audience
  • define the campaign investment
  • place images on presentation slides
  • review presentation slides
  • throw old papers in the trash

A to-do list with more details will help you to better organize your time, and to realize if it is a workable list or not during that day or week.

Attention: the goals you define must be possible. You’re never going to finish a list of impossible goals, like doing 10 gigantic projects in one week.

12 – Pay attention to the sounds

25 tips to increase the productivity of your business

I don’t know if you’ve seen Baby Driver (2017, directed by Edgar Wright, (I recommend it).

The main character, Baby, is the driver of the criminals on the run. One striking feature is that he always wears headphones.

The music that Baby hears works as fuel when driving.

The same thing happens with your brain when you take advantage of sounds to work. There are people who prefer noisy places, others like something quieter.

I tell you something: avoid silence. The melodies activate the sensation of pleasure, and consequently, activate the productivity.

Many people who listen to music while working have better and more accurate results than others.

Another way to keep your brain active using sounds is with white noises.

White noise (or white noise) is a sound that is maintained at the same frequency, such as the rain, the radio or the TV out of the air, the fan, the plane….

It can be used to study, concentrate, at work, and even at bedtime (for sleeping, the rain is great).

13 – Have rituals to prepare your mind

Rituals are a way of showing your brain that an activity is about to start.

For example, putting on tennis shoes before a physical activity, or having tea before going to bed.

That is also valid in professional life: small habits like having a glass of water, a cup of coffee or playing specific music before starting the work day.

As I mentioned in this article, my ritual is to do Cross fit very early, before work. This is how I prepare for the day ahead.

In case you find it very difficult to create a habit like the ones I mentioned, be calm: at first it is like that.

Our brain needs 30 days of activity in a row to build a habit. So, take it one step at a time and find out which habit works best for you.

14 – Organize your day

You can have an incredible memory, remember the color and model of the shirt that you wore on the first day of your first job.

But relying solely on your memory to remember all the demands of the day is running the risk of being wrong.

To help you organize your day, you can use:

  1. Physical diaries or post-its (self-adhesive paper of various colors, sizes and shapes)

Write in your own handwriting the activities that you have to accomplish, activates the brain and helps you memorize them.

  1. Online agendas, such as Google Agenda

The good thing is that you have it in the palm of your hand and it gives you the notifications of each of your daily, weekly, monthly commitments. .

  1. Payroll

For example, my Klickpages (KP) team has a weekly activity log. So everyone finds out about the tasks that each one is doing.

  1. Apps and tools

Like Google Drive, Trellis, Ever note, slack.

My advice is: organize your week on Friday, before the end of the day, or early Monday.

If you don’t want to get to work every morning without knowing what to do, (as this is a waste of time), keep your schedule organized

That helps your brain prepare for what is coming.

Another way is to organize all the information in one place: for example, if you choose Slack as your company’s internal communication tool, don’t send information by email.

If you use a lot of tools, your files, documents and conversations are going to be disorganized.

You are going to waste time searching and therefore your productivity decreases.

15 – Avoid distractions to the maximum

Even if you live isolated from the world, without internet access, without people around you, distractions always find a way to appear.

It is practically impossible to get rid of them, but you can avoid them:

  1. Mobile

Keep your cell phone in airplane mode or offline and check notifications when you take a break, never during productive hours.

Preferably, put your device with the screen facing down and resist the temptation to “check the time” every 10 minutes.

  1. Social media

Facebook and (personal) Instagram are not good allies for productivity.

You swear you’re going to just give it a peek for 5 minutes, and when you realize it, it was hours of wasted time.

Now, who needs to work using social networks, a good advice is to use News Feed Eradicator because it blocks your news feed and helps you save time

  1. E-mail

Checking emails should not be part of your demand for the day, because you can get lost in the middle of so many messages in your inbox.

Set aside a time during the day to review and reply to your emails.

You can use the Batched inbox to set up email notifications at specific times, for example, from 2 to 8 pm.

  1. Coworkers

Set aside time to socialize – during your coffee break – or during your lunch break.

Avoid talking or paying attention to whoever is chatting next to you during productive hours.

If someone tries to interrupt you to chat, tell them the time you will pause so they can do so.

  1. Eyelashes in the elevator

Do not leave many tabs open because you will try to jump from one to the other and lose productivity time.

Bonus: The Video Speed Controller works to speed up the speed of the videos you watch. The good thing is that you can adapt it however you want.

The great advantage is that you force your brain to pay close attention to the video so as not to lose any important information due to speed.

This helps you stay focused and reduce distractions.

16 – Meetings are thieves of time

It may seem pointless, since meetings are so common in companies, but they waste valuable time.

Don’t get me wrong: Yes, meetings are important. But not always.

Do them when strictly necessary and stipulate their duration.

Trust me: most shouldn’t be longer than 30 minutes.

If you are used to spending 2 or 3 hours in a meeting, reduce the time little by little until you reach an hour or less.

Invite only who should be there. Don’t waste someone else’s time unnecessarily.

Bonus: Hold standing meetings. Thus, everyone tends to be more objective and say what is relevant.

17 – Most important tasks first

Between updating spreadsheets full of numbers and formulas and answering an email, what seems to be more interesting?

I would say email, because it is easier.

If you tend to do easier and less important tasks first, you are not alone. But you are making a mistake.

If you put together all the simplest tasks, you will see how much time you lost.

In the early hours of the day, prioritize the most complicated and important tasks, as this is when you have the most energy.

If you leave it for the end of the day, you will be stressed and will have more difficulty concentrating.

18 – Find your motivation

What is your goal? Why do you get up every day to work? What is your fuel that allows you to continue?

Finding out what motivates you, where you want to go and if you are on the right track, are important points to maintain your productivity in the heights.

There is no sparkle in the eyes of those who do not feel pleasure in working, they do not have a reason to be a productive person because they do not find a purpose or a meaning in what they do.

19 – Multitasking is a great illusion

If you want to decrease your productivity by 40%, multitasking is the way to go.

Well, when you do several things at the same time, the truth is that you are changing from one task to the other, without completing any with maximum performance.

It’s like driving using your cell phone at the same time. It is impossible to pay 100% attention to the two simultaneous actions.

For those who subscribe to Netflix, in the catalog there is a National Geographic documentary called Brain games.

It shows how we pay attention to the world around us.

The result reinforces what I already mentioned here: human beings are incapable of paying attention to more than one thing at the same time.

So being multitasks is an illusion. It is nothing more than constantly interrupting one task to do another.

Therefore, if you want to have high levels of productivity, I start one task when the other is finished.

20 – Reach the flow state

Everything I have told you so far is very useful for those who want to increase their productivity.

But perhaps the most effective thing is the state of flow.

That is a concept created by the psychologist Mohali Csikszentmihalyi and it means being completely immersed in an activity.

And when it seems that nothing else exists outside of that precise moment, you can forget to eat and sleep, so focused you are.

Maybe you’ve already been through that: you were so focused on something that you freaked out when someone approached you.

Reaching the state of flow is not so easy, but with all the advice I gave you, you will achieve it

21 – Do not get lost with the excess of information.

Believe it or not, we have never read as much as we do today.

The cell phone rings at every moment, the news is published in real time.

If you stop producing every time something appears on the internet, you are really not going to do anything.

Maybe you’ve already done some research on what marketing is and ended up on a YouTube channel that talks about tourism.

It is very easy to get lost in a world of endless information. So focus on what you are looking for.

22 – The Procrastination Monster

Go back to school times for a minute.

Did you study every day after class, or did you let the subjects accumulate until one day before the test?

If you were like practically everyone I know (including myself), choose the second option.

Writer Tim Urban explained in a lecture how procrastination works

For Tim, it’s natural for humans to procrastinate / procrastinate because the brain is looking for immediate rewards, like watching a funny video or spending hours on Instagram Stories.

For that reason, you probably left to study hours before exams.

The need for immediate rewards works something like this:

Why do a job little by little, if I can put it off until the last minute?

Notice: You must commit to yourself because the one who is going to suffer the consequences of procrastination is you!

To avoid procrastination:

  • divide your time into cycles
  • start your day with the most important and complex task
  • make a detailed to-do list
  • set deadlines

Procrastination has everything to do with the following tip…

23 – Error is not your enemy

Think of a baby around 10 months old. He’s probably going to be crawling, maybe rehearsing his first steps (and of course, falling over and over again).

It will take a long time to make a firm move.

After mistakes and successes, falling and lifting many times, babies feel safe to walk – and they begin to learn to run.

It is a process. Therefore, do not be afraid of being wrong. That can become an excuse for not being productive.

What is done is better than what is perfect. Perfectionists are great procrastinators.

Those who fear error may be sabotaging their own creativity.

I tell you something: you will never know everything about a certain matter. There’s always something new to learn.

Then put what you already know into practice and learn more along the way.

24 – Don’t demand so much of yourself

When you demand a lot of yourself, the tendency is that you get stuck and you can’t do anything.

I tell you something: you are not going to be at your peak of productivity every day. It is normal to have highs and lows.

Some weeks are going to be more productive than others – and there is nothing wrong with that.

It is normal to be distracted, the important thing is to know how to get back from distraction and get back to work. It’s normal to be sad, angry – you just shouldn’t let that feeling consume you.

25 – Asking for help is not weakness

If you think that asking for help is a sign of weakness…. ponder.

Imagine that you have difficulties speaking in public and need to give a lecture or present a seminar.

One of your co-workers is very good at these things. You can try without their help, and get a bad or medium result, or ask for help and be surprised by your performance.

There is no reason to break your head trying to do something by yourself, when there is someone by your side who can help you.

You can ask for help when:

  • you have difficulty at a specific point
  • you feel overloaded

In return: Today you ask for help, tomorrow you help someone. That makes the results incredible.

Productivity also depends on physical health

You can follow all the advice I’ve given you so far, but keep in mind that your performance can be impaired if your body is not prepared.

Therefore, I brought you some extra tips so that you are up to date with your body and your mind.

  1. Maintain good posture

You are not the Hunchback of Notre Dame. Take care of your posture when you are sitting and standing. If your spine hurts, it is because something is there.

  1. Drink water

Without water, your organs don’t function properly. If you are hydrated from head to toe, your performance will increase.

  1. Feed you well

If you eat well, your body works as it should. Without a balanced diet, the body suffers from imbalances.

Eating well means having more energy and willingness to meet the demands of the day.

  1. Sleep well

Having a good night’s sleep is essential to keep your metabolism working and face the day, and even to prevent diseases such as depression and diabetes.

The ideal is to sleep at least 7 hours. If you have the habit of staying up at work, you are affecting your productivity.

If you don’t get enough rest, your performance decreases.

  1. Daytime naps

I know that not everyone follows that advice, but naps during the day are proven to help improve performance.

If possible, sleep at least 20 minutes after lunch.

  1. Do physical activities

When I don’t do Cross-fit, I feel like my body claims. Physical activity is often therapy, a way to release the tensions of the day.

Exercises improve the physical and mental condition, give you more disposition, and prevent diseases.

Mainly for those who spend many hours sitting, it is essential to move.

  1. Shower in the morning

Think carefully: your body spent at least 7 hours resting, comfortable under the blankets.

If you shower immediately after waking up, your body will be ready to face the day.

An alert body produces better.

  1. Do stretches

Mainly for those who sit for a long time, stretching is a way of activating circulation, avoiding pain in the back and muscles.

  1. Make up your bed when you wake up

It seems silly, but fixing the bed is a small step that shows your body that a new day is about to begin.

It is a ritual that triggers positive reactions. Whoever makes his bed in the morning has life in order and under control.
